Funding Board Policies

DEADLINE
  • Applications must be submitted by the Tuesday two weeks before your event. When in doubt, apply early.
  • All funding related documents must be submitted to the front desk of RTH 110.
  • Applicants must sign in the application with the front desk and make sure it is time stamped.
  • Applications must be submitted by 3 pm on Tuesdays in order to be considered.
  • All applications must be typed.
  • Applications that do not adhere to any of the above policies will not be accepted.
    All post events are due one week from time of event.
ELIGIBILITY
  • Only recognized Viterbi student organizations that have gone through the re-recognition process are eligible to apply for funding.
  • No organization is entitled to funding.
  • Organizations must have good history of submitting applications properly and following guidelines/protocols.
  • All Post Event Reports for past funded events must be completed and submitted in order for future events to be considered for funding.
  • Incomplete applications will not be considered.
ELIGIBLE EVENTS
  • Eligible events for funding include conferences, seminars, retreats, workshops, recognition programs, community service, and other events at the discretion of the funding board.
  • Events should promote awareness or an educating factor to the student organization or provide an opportunity for networking between and among Viterbi School undergraduate students.
  • Fundraising events are prohibited.
  • Items that will not be funded include but are not limited to:
    • Alcoholic beverages
    • T-shirts – unless vital to the program
    • Any miscellaneous amounts
    • Airfare for non-USC students
SUPPORT
  • No student organization is entitled to funding by virtue of being recognized. The Funding Board reserves the right to use its discretion.
     
  • Fall Semester
    • Of the total funds received from the Viterbi Student Activity Fee, 10% of the total activity fee will be allocated for events benfiting the Viterbi School of Engineering as a whole during E-Week
      • Closed progams are not eligible for this funding
    • The remaining 90% of all funds received by the Viterbi Student Activity Fee will be available for student organization sponsoring events benefiting the organization and the entire engineering student community, if applicable.
      • Funding will be allocated on a first come, first serve basis until the fund for the semester has been depleted.
      • Organizations are limited to a maximum of 10% of the organizational fund over the course of a semester.
      • Joint Sponsorship is permissible and encouraged. If an organization has expended its 10%, it can co-sponsor an event if the other co-sponsor who has not reach 10% maximum. If more than one orgaization sponsors an event, the maximum amount of funding that the event may receive must equal the total cost of the event.
    • At the end of the fall semester, any remaining funds will be transferred to the E-week fund for the Spring semester.
  • Spring Semester
    • Of the total funds received from the Viterbi Student Activity Fee, 25% of the total activity fee will be allocated for events benfiting the Viterbi School of Engineering as a whole during E-Week
      • Closed progams are not eligible for this funding
    • The remaining 75% of all funds received by the Viterbi Student Activity Fee will be available for student organization sponsoring events benefiting the organization and the entire engineering student community, if applicable.
      • Funding will be allocated on a first come, first serve basis until the fund for the semester has been depleted.
      • Organizations are limited to a maximum of 10% of the organizational fund over the course of a semester.

    • If no central E-week is planned/formed, the remaining funds will be deposited back into the account for organization use.
  • The funding board uses its discretion to make the decision on the allocation amount with the final approval from the Viterbi School of Engineering Office of Admission & Student Affairs.
  • On occasion, the Funding Board reserves the right to grant partial funding.
  • Reimbursements, although discouraged, will be granted if the vender is not an official University of Southern California vendor.
  • Funding is not guaranteed.
RIGHTS AND OBILGATIONS OF THE FUNDING BOARD
  • Make the student organization aware of its funding status following their Funding Board meeting.
  • The funding board will meet once a week throughout the entire semester or until the funds are depleted. The funding board will send out emails regarding status of applications and deadlines for future applications.
  • The funding board reserves the right to conduct closed meetings.
  • The board will not judge the validity of a program solely based on its size or number of people that could realistically be expected to attend the program.
  • The funding board reserves the right to reject, fully fund, or partially fund any application. Upon request, an explanation will be provided to all student organizations not receiving the amount requested.
OBLIGATIONS OF THE ORGANIZATION
  • Organizations must submit a completed application and all supporting documents instructed on form.
  • One week after the event organizations must submit a Post Event Form and all supporting documents instructed on form.
  • Organizations must contact the Funding Board as soon as possible in the event that approved funding is NOT used for any reason.
